EMDECS - Truck Dealership System is a total business solution designed for truck and trailer leasing organizations to manage their rolling stocks effectively and efficiently.
EMDECS is used to tracks asset features, depreciation, loan amortization and disposal. It is also used to manage repair facilities; including shop, service mobiles and sublets; and to track all repair costs and maintenance schedules by unit. The Rental & Leasing System is designed as a single sub-menu with a number of pull-down functions. Users can setup as many rental contract rates as required and in setting up a new rental customer, one of these rental contract codes can be assigned to this customer record. EMDECS will streamline your operation, help you control costs and monitor sources of revenue and expenses unit by unit. Accounting functions are integrated; including repair re-bill, rental and leasing invoice, parts inventory, accounts receivable, purchase order, accounts payable, general ledger and financial statement. It is an indispensable business tool for operating efficiently, and at the same time, maintaining complete management control.
EMDECS - Truck Dealership System is designed to manage the dealership of new and used tractor trailers to external customers. The Truck Dealership Module is used designed for service organizations that require fully integrated systems that can service a multitude of customer requirements, including counter sales, repairs, and are also responsible for tracking repair costs and maintenance schedule for the customers fleets.

Counter Sales

Parts Inventory
- Inventory part number or supplier catalogue number can be used to create purchase orders. EMDECS has the capability of cross-referencing one part number with more than one supplier, catalogue number and price.
- Parts can be purchased in bulk and sub-divided into inventory unit cost.
- Purchases can be allocated for inventory or for specific shop orders. Order entry is automatically directed into the shop orders as parts so that there is no duplicate entry.
- Receiving items including partial shipments is easy by simply mouse clicking the PO line items or entering the actual quantity received. There is no duplicate entry and the on-hand inventory and average costs are automatically updated.
- Inventory barcode scanners are available for easy inventory tracking.
Work Order
- EMDECS monitors the shop order status and labor activity to provide accurate customer invoices with correct labor rate and parts markup.
- Every shop order is tracked from the time the quotation in open to the time the customer invoice is issue, including the time of customer arrival, the start and stop of every task of every mechanic/technician for every job, every part that is being used, and the time of completion.
- Using pre-set control tables, the contracted labor rate, shop supplies, retail price and markup percentages will be applied to the customer invoice accurately.
- Service advisors can quickly and easily make up service quotations or estimates based on previous quotations, standard service programs, bill-of-material, and previous shop orders, in its entirety or by line item.
- True single entry system, nothing needs to be re-entered from turning a quotation into a shop order.
- Every shop order is updated real-time so that the user is always on top of every job and profit and loss analysis can be done immediately.
- Rate tables include labor hourly rate, parts markups by markup group, dealer price tapes, fixed retail price by customer contract, labor fix rate items, and shop supply rate tables.
- EMDECS exploits the ATA VMRS coding system to enable much greater reporting flexibility. It uses standard codes for tasks, system, assembly, component, repair reasons, etc. We also enable you to continue to use the OEM op-codes and standard repair times for warranty recovery.
- With the capability we give you to create service programs, tasks, intervals, and parts can be pre-set to trigger work orders, and to minimize the need for additional data entry. You can copy work orders or work order lines from the same unit or from other units with the click of a button. This exclusive ease of use means that the administrative effort is greatly reduced and re-keying errors can be eliminated.
- Work order flexibility is greatly enhanced. For example, you can split a work order, do partial billings, and assign multiple employees to a work order. EMDECS handles multiple units per work order, shop charges, miscellaneous charges, and memo work order types. Most importantly, anything you might need us to do that we don’t have in the system can be added - quickly, easily, and very affordably. Mechanics Time Monitor
- The Mechanics Time Monitor Module is designed to replace all time clocks used for clocking mechanics in and out of each job and eliminate any manual actions related to transferring time cards to shop orders and payroll entries.
- The system provides real-time instantaneous feedback to monitoring a workstation. This helps supervisors stay on top of the activities in the shop and make proactive decisions.
- Bar code scanners complement the system through ease of use and reliability. The mechanics simply scans his badge every time he changes jobs or tasks or is clocking in and out for the day.
- Mechanics times are totaled up automatically for each task and job and are used as the bill-out hours for the job unless over-written by the user.
- Every minute of every job is accounted for which eliminates any lost hours.
- Mechanics daily or weekly hour reports are available for payroll purposes as well as actual versus charged hours, shop productivity and profit & loss reports.
Fleet Maintenance
- EMDECS tracks each customer's fleet maintenance schedule separately and provides repair cost detail and analytical reports on a regular basis.
- The system can be programmed for customers direct inquiry via the internet.
- Preventive maintenance schedules and parameters are unique by customer and based on the type of units under each maintenance group. Scheduling parameters can be based on any combination(s) of elapsed time, usage hours and/or mileages
- Service programs can be setup individually and/or associated with maintenance schedules.
- Maintenance due in EMDECS is always calculated based on repair history and forecasted with the most up-to-date maintenance schedule parameters in the database.
- User is reminded automatically whenever a shop order is open for this unit. With a mouse click, the entry from service reminder can be imported to the shop order without any other operator input; it is convenient and easy to use.
- In the case where a unit is serviced somewhere else, EMDECS provides flexibility to the facility to enter the 'external' work so that the maintenance schedule is always current, and to ensure that the next maintenance due date is up-to-date.
Accounting
- Accounts Payable Module is fully integrated with inventory receiving and invoice, and the general ledger.
- Inventory invoices can be transferred from parts receiving or packing slip at the same time. These invoices cannot be paid unless they are also 'authorized for payment'. This maintains a single-entry system while still maintaining control.
- Batch checks or manual checks can be printed from the system.
- Accounts Receivable Module is fully integrated with the Shop Order Module. Other miscellaneous customer invoices can be entered as well as customer receipts and adjustments.
- A list of customer outstanding invoices can be displayed and paid by using mouse clicks. An invoice can be fully paid or partially paid.
- Journal entries are created automatically by the system and every journal entry maintains a cross reference to its source document and is easy to track with the EMDECS built-in drill-down capabilities.
