Fleet Maintenance

EMDECS - Fleet Maintenance & Parts Management is designed to manage internal and outside fleet maintenance and repair shops with integrated parts inventory functions.

 

EMDECS offers incredible flexibility allowing you to create customized maintenance programs to suit your fleet operations. You determine the performance standards for preventive maintenance routines, and the measurement criteria to be applied to a maintenance or safety program. For example: you specify number of weeks, number of days, hours of usage, odometer reading, and so on. To simplify preventive maintenance program definitions and reporting, you can classify similar vehicles together in one PM group, or in several groups, as well as by equipment types. EMDECS exploits VMRS (Vehicle Maintenance Reporting Standards) to dramatically simplify operation and minimize data input. Appropriate PM’ activities can be added to a work order with the press of a button, and associated parts and estimated times are included automatically.

The system can accommodate customers that may have many service locations spread throughout different time zones and where each service location may have multiple repair facilities and warehouses, including service mobiles. Since the EMDECS system is web enabled and secured, authorized
users may have access to the system anytime, anywhere throughout the Internet. The physical details of every truck, trailer or other equipment can be entered into the EMDECS database. Specifications, like engine, transmission, axles and tire details can be entered. These are standard parameters that can be defined by the customer. This information can be displayed or drilled down directly from other screens that reference the unit number. From the detail screen, the customer can access all historical data including labor, parts usage, PM schedules, odometer/hub readings, and hour readings.

    When a work order is completed in EMDECS, the system checks that all mechanic time scans have been completed, and that all special orders have been received.

  • Since all repair order labor and parts costs are coded using ATA VMRS codes, analysis and comparative reports between units or groups of units are available.
  • In addition to having comparisons by unit, by VMRS code and by measurements, assessments can also detail cost per mile, engine hour or any other reading type defined by the customer

Defer Work

  • Tracking defer work/service reminder/outstanding work is also part of the Customer Fleet Maintenance Module.
  • These reminders can be created at any time while updating the repair order or as an independent function. The user is being reminded of any outstanding work whenever a repair order is opened for a specific unit.
  • With a single mouse click, the entry from the service reminder is imported into the repair order without any other operator input, thereby creating an easy-to-use function and convenience.
  • Alternatively, if the work has been entered in the repair order but needs to be deferred, the user can click on the task and move it away from the repair order and store it as defer work for the future.

Maintenance Due

  • Maintenance due in EMDECS is always calculated based on repair history and forecasted with the most recent maintenance schedule parameters in the database.
  • A unit may be moved from one maintenance or vocation group to another (e.g. from city to highway), and the maintenance due schedule will be calculated based on the parameters of the new maintenance group and the unit's most recent PM history.
  • Similarly, if the customer decides to modify the maintenance parameters, (e.g. from 30 days to 45 days), the maintenance due reports will immediately reflect these changes and will subsequently delay these units by another 15 days.
  • The EMDECS design eliminates the idiosyncrasies of other maintenance systems that calculate or preset the next due dates based only on the time of the most recent repair order or manual update.

PM Schedule

  • The customer can setup PM schedules by unit groups. EMDECS will forecast PM due dates and mileages for each unit based on the repair history or labor detail from the work order.
  • The EMDECS PM system also optimizes annual inspections, and handles an unlimited number of maintenance scenarios.
  • When the customer creates a PM repair order, the system will automatically use the labor hours and parts from the last work order of the same PM type.
  • Alternatively, the user can access the PM history of another similar unit and utilize the same labor and parts. The system saves a great deal of time by automating the creation of PM repair orders.
